Fire Incident at a Government Building in Mthatha, Eastern Cape

The South African Society of Archivists (SASA) expresses deep concern and sadness following the recent fire incident at Botha Sigcau building in Mthatha. This tragic incident underscores a critical and longstanding vulnerability within our public sector, the preservation and protection of records and information. While the full extent of the damage is still being assessed, it is highly likely that vital records of enduring value may have been lost or severely compromised. These records are not merely administrative tools, they are the foundation of accountability, service delivery, historical memory, and citizens’ rights. The destruction of such information represents an irreversible loss to governance, heritage, and justice. 

This incident serves as a stark reminder that reliance on paper-based recordkeeping systems alone poses a significant risk. Fires, floods, and other disasters can, within moments, can erase decades of institutional memory. In this regard, SASA strongly emphasises the urgent need to prioritise digitisation of records across all spheres of government in South Africa. Digitisation is no longer a luxury or a long-term aspiration; it is an immediate necessity. A well-implemented digital records management system ensures that information is securely stored, backed up, and accessible even in the face of physical disasters. It also strengthens transparency, improves service delivery, and safeguards the rights of citizens. 

We therefore call upon government departments to: 

Accelerate the digitisation of critical records and archives 

Invest in secure digital infrastructure and disaster recovery systems 

Strengthen records management policies and compliance mechanisms 

Prioritise training and capacity building for records management professionals 

SASA stands ready to support government efforts through professional guidance, advocacy, and collaboration to ensure that such losses are not repeated. 

The preservation of records is the preservation of our collective memory and democratic accountability. We must act decisively to protect it.
